Job Summary

CEU seeks a full-time Research and Records Manager to join its Development Office in Budapest, Hungary. The incumbent will be responsible for managing prospect research and ensuring the integrity of donor records as well as overall data systems management for the Development office.

The Development Office

CEU’s Development Office (DEVO) is responsible for securing philanthropic support and developing strategic partnerships to help sustain the University and ensure that CEU has the financial resources needed to continue to innovate through its graduate education, research, and civic engagement programs. This support comes primarily from foundations, corporations, and individuals, complementing funding and revenues from a variety of other sources. The Development team works with current and potential donors to identify mutual interests, support investments across the University, and demonstrate the impact of their contributions. DEVO also engages potential donors and friends of the University through an array of cultivation and stewardship activities, including recognition programs, special events, and volunteer opportunities. The Research and Records Manager will work closely with the VP for Development, the Director of Strategic Partnerships, the development team and partners across the university to enhance CEU’s pipeline of prospective supporters and ensure the accuracy and integrity of all prospect and donor records. The Manager also supervises DEVO’s student research assistants.

Main Duties and Responsibilities:

1. Prospect Research and Systems Management: The incumbent is responsible for the overall coordination and production of information on prospects and donors to the University in support of CEU’s strategic goals. S/he will:

  • Develop and implement an effective prospect identification and research strategy, including a moves management system for major donors (individual, foundation, corporate, as well as some public funders) 
  • Build DEVO’s portfolio of prospect and donor profiles by identifying and researching the networks of CEU’s leadership, and preparing profiles to support meetings and events with prospective funders
  • Manage CEU’s pipeline of prospects to both help organize each DEVO staff member’s activity and reporting, and to help forecast the unit’s overall fundraising target
  • Manage research requests and supervise and provide training to student research assistants
  • Lead the team’s compliance with international data protection regulations, keeping abreast of best practice
  • Regularly evaluate and improve upon systems once implemented and provide input into the budget planning and monitoring process

 

 

 2. Oversight of Records and Data Management: Position will provide day-to-day oversight of all prospect and donor records, ensuring accuracy and integrity of CEU’s Raiser’s Edge database. Additionally, incumbent will oversee relevant mailing lists and supervise mailing management.

  • Oversee Raiser's Edge database management and utilization by all users, including units outside of DEVO utilizing the database 

- Maintain updated standards guide with consistent protocols for database use and data entry

- Conduct training for staff and research assistants to ensure data quality control and accuracy

- Lead data entry and data management efforts and oversee filing  procedures

  • Provide analytics needed to track team effectiveness and ROI, including prospect tracking reports and appeal/campaign reports; produce dashboards, reports and queries for internal and external audiences as needed
  • Oversee maintenance of mailing and event lists and support development of institutional mailing list
  • Manage database subscriptions and annually evaluate available tools

 Professional Qualifications and Experience:

  • At least 3 years of experience in prospect research and/or records and database management
  • Fundraising experience, especially in a higher education setting, is highly preferred
  • Experience managing direct reports

 Professional Skills and Knowledge:

  • Highly resourceful with excellent project management and organizational skills
  • Excellent writing, editing, and communication skills in English (Hungarian also a plus)
  • Proficiency with Raiser’s Edge and Mailchimp or similar database and mailing tools
  • Skilled in all Microsoft Office applications
  • Ability to maintain confidentiality and handle highly sensitive information in line with the American Prospect Research Association’s guidelines for ethical collection and use of information and international regulations
  • Skilled in reading and interpreting a variety of financial, technical, and trade documents
  • Ability to work in a fast-paced, deadline-oriented environment
