 The Development Office at Central European University invites applications for Departmental Coordinator position. The successful candidate will join to the Development Office in Budapest, Hungary. Reporting to the Vice President for Development, the Development Coordinator will be responsible for the seamless function of the office, through expert operational and administrative support.

 The Development Office

CEU’s Development Office (DEVO) is responsible for securing philanthropic support and developing strategic partnerships to help sustain the University and ensure that CEU has the financial resources needed to continue to innovate through its graduate education, research, and civic engagement programs. This support comes primarily from foundations, corporations, and individuals, complementing funding and revenues from a variety of other sources. The Development team works with current and potential donors to identify mutual interests, support investments across the University, and demonstrate the impact of their contributions. DEVO also engages potential donors and friends of the university through an array of cultivation and stewardship activities, including recognition programs, special events, and volunteer opportunities. The Coordinator will work closely with all members of the DEVO team.

 Main Duties and Responsibilities:

 1. Administrative & Operational Support: Position will ensure the seamless function of the unit through executive assistance to the Vice President, Directors, and team, including but not limited to:

  • Unit budget management, including coordination of annual budget planning, management of unit memberships/subscriptions, SAP entry, preparing/filing expense forms and reimbursement requests, and monthly budget reporting
  • Unit calendar management, scheduling assistance and travel booking, as well as managing deadlines for funding proposals and follow-up reports
  • Meeting support – creating agendas, room booking, IT needs, etc.
  • Proofreading, preparation, compiling of materials for meetings/visits
  • Filing and document archiving (contracts, agreements, correspondence, etc.)
  • Research support, including donor prospect research
  • General correspondence

 2. Data Entry & Mailing List Support: Position will manage DEVO gift processing and mailings and provide recordkeeping support for CEU’s donor and prospect database (Raiser’s Edge):

  • Process donations in Raiser's Edge database and produce acknowledgement letters in a timely fashion in accordance with CEU’s gift acceptance policies and procedures
  • Produce dashboards, reports and queries for staff as needed
  • Provide data entry support as well as training for staff and student research assistants to ensure accuracy of Raiser’s Edge database
  • Digitize historical donor files for database
  • Generate, clean, and organize mailing lists according to Development communications calendar and as requested
  • Organize and carry out bulk mailings or emails
  • Maintain mailing and event lists (including regular newsletters, campus updates, invitations, etc.)
  • Support development of institutional mailing list

 Professional Qualifications and Experience:

  • English fluency at native or near native level
  • 3+ years’ experience in an professional office environment
  • Fundraising and/or higher education experience is an advantage

 Professional Skills and Knowledge:

  • Exceptional English writing skills
  • High level of proficiency in all Microsoft Office applications
  • Database and data entry experience highly preferred
  • Excellent organizational skills
  • Ability to work in a fast-paced, deadline-oriented environment

  • Flexible
  • Ease in working with people, including students, staff, faculty, trustees, and donors from all over the world
